Metadata & Data Deposit Guide¶
To maintain a high-quality, discoverable research index, every record deposited into the JLab Document Management Repository (JDM-RDM) must be accompanied by accurate, standardized metadata.
Properly structured metadata ensures that your publications, datasets, and software are citable, searchable, and fully compliant with institutional guidelines.
Creating a New Deposit¶
Before configuring metadata, you must navigate to the record creation form from the main interface:
- Look at the top right header area of the homepage once you are logged in.
- Click the
+(Plus) dropdown button located next to your profile icon.

- Select New upload from the dropdown options.
- You will then automatically land on the repository's data deposit form page.
Community Assignment¶
The very first action you must take on the upload form page is assigning your record to a community. Every record must be submitted as part of a community. You cannot publish a standalone record without associating it with an experiment or institutional collaboration group.
When the upload page loads, look for the community selection banner at the top of the form:

- Click the Select a community button at the top of the page.
- Choose the appropriate collaboration or working group from the modal list.
- Automatic Visibility: By choosing a community, your record will inherit the default visibility rules of that group and will be instantly discoverable by its members.
- Review Process: Depending on your collaboration's workflow, submitting a record to a community may trigger a review request. The community's designated curation team or administrator will review the metadata format before formally accepting it into the public or private collection.
